Integration with Raynet CRM

Raynet CRM is a cloud-based CRM system for managing sales, customers, and deals. It is designed for sales teams that maintain a database of contacts, deals, and leads and need to log all communications.

The Ringostat integration allows you to:

  • Automatically create selected entities in Raynet CRM upon a call: Company (Account), Contact (Person), Lead, Deal (Business Case), Task, Phone Call

  • Transfer additional call data to entity cards upon creation. For example: UTM tags, forwarding scheme name, etc.

  • Set up smart call forwarding to the responsible manager

  • Display the contact's full name and links to entities (Contact, Deal, Lead) in the Ringostat Smart Phone app

Activation and integration setup

The integration is set up individually by Ringostat specialists. To connect, please write to the support chat and provide the required setup data.

Connection data (one of the following options):

Option 1

  1. API key of Raynet CRM (generated in the Raynet account settings: Settings → API keys) and the email of the user under whose credentials the API key was generated

  2. CRM portal URL depending on the locale (e.g., https://app.raynet.cz/, https://eu.raynetcrm.com/)

  3. Company name in Raynet (found in the URL — for example, in https://eu.raynetcrm.com/test/ the company name is "test")

Option 2

  1. CRM portal URL

  2. Login and password for the Raynet portal

  3. List of entities to be created: Accounts (Company), Contacts (Person), Leads, Deals (Business Case), Tasks, Phone Calls

  4. If additional data needs to be transferred to custom text fields — provide the field names, entities, and what data should be sent there

  5. Full name of the senior integration manager

Please note: for entities to be assigned to the correct managers, they must be added in Raynet CRM with the same full name as in the Ringostat account.

Where to create an API key

The API key is created in Settings → Developers → API key → "New API key".

How the integration works

When a call is made from/to a new customer's number, the entities selected during setup will be created in Raynet CRM: Company (Account), Contact (Person), Lead, Deal, Task, Phone Call. Additional data will also be transferred upon entity creation, if applicable.

Account

  • If an existing Account is found by phone number — a new one will not be created

  • The following fields are filled in by default upon creation: name (customer's number), rating (B), status (A_POTENTIAL), role (A_SUBSCRIBER), phone, responsible manager

  • The Account is linked to the Contact and Deal if a search for those entities was performed

Person

  • If an existing Contact is found by phone number — a new one will not be created

  • The following fields are filled in by default upon creation: last name (customer's number), phone, responsible manager

  • The Contact is linked to the Deal and Company if a search for those entities was performed

Lead

  • A Lead is an independent entity in Raynet that can be converted into a Deal, Company, and/or Contact

  • If an existing Lead is found by phone number — a new one will not be created

  • The following fields are filled in by default upon creation: subject (customer's number), priority (DEFAULT), phone, responsible manager

Deal / Business Case

  • In Raynet, a Deal cannot exist without a Company

  • A new Deal is created only if the found Company has no open Deal (or all deals are closed)

  • The following fields are filled in by default upon creation: name (customer's number), Company ID (link to the found Company), Contact ID (link to the found Contact), responsible manager

Task

A Task can exist as an independent entity. The following fields are filled in by default upon creation:

  • Title: {Inbound/Outbound/Missed} call from {Caller} to number {Called number}

  • Priority: for a successful inbound or outbound call — "Normal"; for a missed inbound call — "High"

  • Description: call status, duration, link to the call recording (if the call was successful)

  • Deadline: current time + 4 hours

  • Responsible manager (owner and resolver)

  • Linked to Contact, Deal, and Company or Lead

Phone Call

A Phone Call can exist as an independent entity. The following fields are filled in by default upon creation:

  • Title: {Inbound/Outbound/Missed} call from {Caller} to number {Called number}

  • Priority: for a successful inbound or outbound call — "Normal"; for a missed inbound call — "High"

  • Description: call status, duration, link to the call recording (if the call was successful)

  • Start and end time of the call

  • Call direction: outbound (role: FROM) or inbound (role: TO)

  • Linked to Contact, Lead, Deal, and Company

Please note: all newly created entities will be linked to each other and assigned to the employee responsible for the call, or to the senior manager — if no responsible employee is found.

Smart call forwarding

How it works: incoming calls are forwarded to the responsible manager by Company, Lead, or Contact based on the customer's number in Raynet CRM.

Only one entity can be selected for smart forwarding to work. The default entity is Contact.

Ringostat Smart Phone integration

The RSP integration allows you to pull the full name from a Contact (Person) along with links to entities: Contact (Person), Deal (Business Case), Lead. The links are displayed in the RSP widget during a call.
