Zoho Bigin is a simplified CRM system from Zoho, specifically designed for small businesses, startups, and small sales teams.

Main capabilities of integration with Zoho Bigin:

  • Automatically create Contacts, Deals, Companies, Tasks, and Calls in Bigin based on calls.

  • Transfer Deals to the default pipeline selected by the user during integration when they are created via calls.

  • Pass additional call data to entity cards when creating them. For example: UTM tags, name of the call forwarding scheme, etc.

  • Integration with Ringostat Smart Phone – fetching the Contact’s full name with a link to the Contact and Deal.

  • Smart call forwarding setup.

Integration Setup

The integration is configured individually by our Ringostat specialists. To set up the integration, please write to us in the support chat and provide the necessary data.

What is needed for integration setup:

  • Zoho Bigin access with “Administrator” level or higher.

  • List of entities to create: Contact, Deal, Company, Task, Call.

  • If you need to send additional data to custom text fields of entities – specify field names, entities, and what data to pass.

  • If you want to create Deals – specify the pipeline name where they should be created.

  • Full name of the Top Manager.

To assign entities to the appropriate managers, they must be added to Zoho Bigin with the same names as in the Ringostat account.

Integration Logic

When a call occurs to/from a new client number, the selected entities will be created in Bigin: Contact, Deal, Company, Task, and/or Call.

Additional data will also be sent when creating entities if specified.

Example of newly created entities:

  1. Contact – with UTM tags transferred to custom entity fields:

2. Deal:

If a Contact, open Deal, and/or Company is found for the client’s number, no duplicate entity will be created.

All newly created entities will be linked to each other and assigned to the employee responsible for the call or to the senior manager.

Tasks created for calls include information about call status, duration, and call recording in the task description.

  • Outgoing or successfully received calls will have “Normal” priority.

  • Missed incoming calls will have “High” priority.

3. Example of tasks created for different calls:

Task for an outgoing call:

Task for a successfully received incoming call:

Task for a missed incoming call:

The Call entity will be assigned to the manager responsible for the call or to the senior manager.

Example with UTM tags transferred to custom fields:

Responsible manager configuration

Forward incoming calls to the manager responsible for the Contact based on the client’s number in Zoho Bigin.
