Airtable is a cloud-based no-code database platform that combines the simplicity of spreadsheets with the power of relational databases. It can be used as a CRM, project management system, product catalog, knowledge base, and more.
Main integration capabilities with Airtable:
Automatically create Records and comments to Records in Airtable with call information upon each call.
Transfer additional call data to Records when they are created. For example: UTM tags, call routing scheme name, etc.;
Integration with Ringostat Smart Phone – pulling the Record name with a link to it;
Smart call routing setup: routing to the manager responsible for the open Record.
Integration Setup
The integration is configured individually by our Ringostat specialists. To set up the integration, you need to contact us via the support chat and provide the setup data.
What is required for integration setup:
Airtable access with "Admin" level (login and password) or API token with employee IDs on the Airtable side;
List of entities to be created: Records and comments to Records with call information;
If additional data needs to be transferred to custom text fields of Records - specify the field names and what data should be transferred there;
Names of Record statuses that are considered "open" in the Airtable user portal;
Table name or its ID where Records need to be created.
Full name of the Senior Integration Manager.
When adding new employees to the project on the Ringostat side - they must additionally be created in Airtable and assigned in the integration settings. |
Integration Logic
When there is a call from/to a new client's number, the entities you selected during integration setup will be created in Airtable: Record and/or comments to Records with call information.
When creating a Record, the following data will be transferred:
Additional data, if such was selected for integration settings;
Status for the Record selected by the user;
Responsible manager - the person who answered/made the call to the client's number or the senior integration manager will be responsible;
Records will be created in the table selected by the user during integration setup.
Example of Entity Appearance
1. We check if there is a Record in the table with the number that was called / from which there was an outbound call. If we find it, we create a comment with call details. If we don't find a Record with such a number, we create such a Record with a comment ourselves. Below is an example of record display with settings for transferring UTM tags to custom entity fields

Smart Call Forwarding
Inbound call routing to the manager responsible for the open Record in Airtable is available for configuration. The search for the responsible person is performed by the client's number in Airtable
Integration with Ringostat Smart Phone
When a client calls, the name from the Record in Airtable will be displayed in the Ringostat Smart Phone interface:
