Integration with if.team

Integration with if.team

Written by Olga Kalchenko

if.team is a comprehensive operating system for service businesses that combines CRM, project and task management, time tracking, team management, Cashflow and P&L, communication, and document storage.

Integration with Ringostat allows you to:

  • Automatically create a Lead in if.team upon a call;

  • Record call history in comments to the Lead with additional information about the call: date and time, manager, duration of the conversation, call status;

  • Open and listen to the call recording directly from the Lida card;

  • Transfer call data to the Lida card. For example: UTM tags, redirect scheme name and other additional parameters;

  • Flexible configuration of which fields Lida should transfer data to by call;

  • Make a call in one click via Ringostat Smart Phone directly from if.team.

Integration settings

Step 1. Connect the integration to if.team

To set up integration if.team CRM with Ringostat, in CRM you need to go to the section Leads → Integrations → and press the button“Add integration”.

In the opened window, fill in the data to activate integration with Ringostat and if.team and press the button“Save”:

Step 2. Choose the direction of calls

Open the saved integration editing window and select the type of calls for which Leads will be created in if.team:

  • Only by “Outgoing calls” from customer number

  • All: “Incoming" and “Outgoing calls”

Note: In Ringostat, for outgoing calls, the manager's number is passed in the caller field, and the client's number is passed in the callee field. To make the setup as simple as possible, the if.team system automatically recognizes the direction of the call and generates two special virtual fields: lead_phone (always the client's real number) and manager_phone (always the manager's number). You don't need to create separate rules - just use lead_phone

Step 3. Add API key

In the same saved integration editing window:

  1. Select API key for authorization and go to setting up field mapping (step 4).

Importantly: Copy the generated API key if.team integration — you will need it to configure webhooks in Ringostat (step 6).

2. If you don't have an active key, you can generate it in the admin panel:Integrations → API Integrations → click on “+” and generate a token.

Step 4. Configure field mapping

Configure the rules for distributing incoming data from Ringostat to Lead fields in if.team:

  • Comparison: Bind values from a webhook to system and custom fields.Importantly: Field "Telephone" always match the lead with the parameter lead_phone — it automatically determines the client's number regardless of the direction of the call

  • Static data: You can fill in the fields with hard-coded text. (For example: Call date: @Call_date@)

  • Dynamic custom fields: There is an option to create new values inside custom fields based on data received during a call.

Please note: The responsible manager for Leads is determined in the integration settings in if.team in advance, not automatically based on who accepted the call.

Step 5. Configure the callback logic and “Save Settings”

When you call again, the system automatically finds the existing Lead by phone number. You can choose the following work scenarios:

  • Add a comment— an informational comment with call details is added to the Lead card

  • and/or Fill in the blanks— the system automatically updates empty Lead fields with new data from the call

Step 6. Configure webhooks in Ringostat

To complete the setup, you need to configure webhooks on the Ringostat side. There are two ways to do this:

  • Write to Ringostat support chat— provide us with a key (API-key) integration with if.team, and we will configure the webhooks ourselves. To do this, you need to write to us at support chat.

  • Configure webhooks yourself— using step-by-step instructions for setup.

Instructions for self-configuring Webhook in Ringostat:

  1. In your Ringostat account, go to the section: Settings → Integrations → Webhook 2.0

  1. Click"+ Add event"and create webhooks using the example of available events from the table: Ringostat and if.team / Webhooks Setup

Please note: parameter type(call type) is mandatory — without it if.team will not be able to determine the direction of the call (in/out) and correctly transfer data to the fields lead_phone and manager_phone.

Additionally: when creating an integration on the if.team side in the “Editing Integration” section with Ringostat → manual added to configure integration from the CPM side:

Logic of work

Lead

  • When a new client calls in if.team automatically creates a Lead

  • When created, call data is transferred to all pre-configured Lead fields. For example: customer number, call type, call status, conversation duration, link to conversation recording, responsible manager, UTM tags and additional parameters

  • If a new Lead is found in CRM by phone number not created.
    A comment with call data is added to the Lead's card (with the ability to configure which parameters will be transmitted) and/or empty fields are updated — depending on the settings selected in if.team.

One-click call via Ringostat Smart Phone

With the Ringostat Smart Phone app, you can call clients in one click directly from if.team — just click on the phone number in Lida's card.

This feature works through Ringostat click-to-call. How to set it up is described in this article.
